Run your dive business from one place
Whether you run six centres with a full team or dive alone with your own group, Blue Trails plans the season, fills the boat, prices the trip and closes the books from a single account.
One account. Every centre. Full control.
Switch between locations from the top bar and the whole portal follows — schedule, clients, prices, sales. Give each staff member exactly the access they need, and reach divers directly in the Blue Trails app.
Run the operation
A calendar per centre, a roster per departure, a printable departure sheet and a team scoped to the locations they work at.
Sell the trip
Proper quotes for groups and multi-day trips, sent as a PDF and converted into real bookings day by day.
Close the books
Itemised receipts by email, the outstanding balance per client, and a sales dashboard for the centre you are standing in.
Built to scale
Everything your operation needs, per centre
The schedule, the boat and the people on it — in one place, whether that is one location or six.
Plans & bookings
Every departure under control
Your schedule produces the whole season's activities, colour-coded by service and ready to fill. Day, week, month or a plain list; closed days shut the whole day for every offer; bulk tools book a group or staff a week in one move.
The roster
The boat, ready before the boat
A full roster per activity — seats taken, rental gear and paperwork status — plus a departure sheet you can print for the crew. Seat limits are enforced per centre, so nobody oversells the dive from the other desk.
Clients
Every diver's details, on file
Certifications, sizes, emergency contact, rental kit and medical form in one record. If the diver has a Blue Trails account and links it, their certifications and logged dives appear here live — you stop retyping what they already carry in their phone.
Offerings
Build your catalogue once
Dives, courses, trips and rentals with their prices, durations and seasons. High and low season run themselves, rentals can be charged per day, and your offerings are also what make you discoverable to divers in the app.
Quotes
The group trip, priced and booked in one thread
“Six divers, five days in March, two boat days and three night dives, plus full rental.” That used to live in an email chain and a spreadsheet. Now it is a numbered document you send as a PDF — and when it comes back approved, it turns into real bookings on real departures.
A pipeline, not an inbox
See what is still open
Every quote gets its own number, per centre, and a validity date. Draft, sent, approved, rejected, expired, converted — the list tells you exactly what is waiting on the client and what is waiting on you.
Send it, don't retype it
A clean PDF under your own letterhead
The centre's name, address and contact details, the itemised trip and the total. Email it from the portal with the PDF attached — replies come back to the centre, and the quote records who it went to and when.
Approved → booked
You choose the departures, not the software
The same service may run at several times; the drawer shows the real departures in range with their free seats and lets your staff pick. Rentals attach to the dive they belong to, and converting works in parts — book three days now, the rest when the client confirms.
Sales
What you billed, what you collected, what is still out
Receipts numbered per centre, sent by email, and a running answer to the only question that matters: who still owes you money.
Receipts
Everything the client owes, already loaded
Open a client and every uncharged booking is there, each line naming the departure it came from. Charge it and the receipt takes the next number in that centre's own sequence — locations never share a numbering run.
By email
The proof of payment, in their inbox
One button sends the receipt as a PDF attachment, with the centre in the visible sender and in the reply-to, so the client's answer reaches the desk that took the money. The address is saved to their record the first time you type it.
Client sales
Who owes you what — with no cut-off date
Every client of the centre sorted by outstanding balance, not by what they spent, because the question is who to chase. A debt from eight months ago is still a debt, and one click opens their receipt with the whole balance in it.
Sales dashboard
How this centre is really doing
Revenue for the period, number of receipts, average ticket, how many different divers passed through, what is owed for dives already done and what is booked ahead — plus the services that actually brought the money in.
Two sides of one ecosystem
Get seen by divers
Blue Trails is also the app divers use to log their dives, keep their digital logbook, share photos with buddies and discover where to dive next. Publish your centre and you appear right where divers are planning their next trip — and when they link their account, their certifications and logged dives flow straight into your client record.
