Schedule an activity

Most activities appear on their own from your services' season schedules. Sometimes you want one that isn't in the regular pattern — a private charter, a one-off trip — and that's what New Activity is for.

Add a one-off

Use New Activity on the Plans & Bookings page. You can:

• base it on an existing service (it inherits the title, price and requirements), or
• build it from scratch, in which case you give it a title yourself.

Then set the date, time, capacity and any staff on board.

Edit an activity

Open any activity to change its capacity, times, assigned staff or notes, or to cancel it. Cancelling frees up the seats and marks the activity so everyone can see it's off — it doesn't delete the record.

Scheduled vs edited

An activity generated from a schedule stays linked to that schedule. If you hand-edit one of its fields, the portal stops auto-managing that field for that activity — your change sticks even when the schedule regenerates. This lets you tweak a single departure without breaking the pattern.

Assign your team

Activities with nobody assigned show up under Needs attention on your dashboard. Assigning a guide or instructor clears the flag and makes your departure sheet complete.
